Clergy Suite Coordinator

The Temple seeks a full-time Clergy Suite Coordinator to join our team. Someone with emotional intelligence and excellent communication skills; tenaciously resourceful; calm under pressure; with technology expertise, strategic multi-tasking, big picture thinking, discretion, impeccable organization and attention to detail. The Clergy Suite Coordinator has the responsibility of ensuring smooth and efficient functioning of The Temple’s Clergy Suite. This position works closely with and supports the senior leadership Team, the Database Administrator and other administrator support team, and collaborates with the entire staff. The Clergy Suite Coordinator reports to the Executive Director, taking direction from the clergy team.

Responsibilities

  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the clergy, providing exemplary customer-service, impeccable discretion and thorough coordination
  • Ensure all materials are accurately and efficiently prepared for clergy in preparation for the Sabbat, Jewish holidays, life cycle events and other occasions
  • Provide administrative support and manage special projects for the clergy team
  • Manage and coordinate life cycle events, including all aspects of bris/baby naming, weddings and funeral/memorial occasions
  • Coordinate pastor care with clergy to ensure timely and appropriate intake and follow-up with the highest level of confidentiality, discretion and compassion
  • Provide sophisticated calendar management for clergy, scheduling appointments and prioritizing items
  • Draft and deliver correspondence, maintain impeccable records, and develop reports and presentations as needed
  • Oversee and support The Temple Arts Program, in coordination with the cantor
  • Provide hospitality to all temple guests and help to create a welcoming environment
  • Coordinate travel arrangements, as needed
  • Organize and maintain the digital and hard-copy office filing systems
  • Cross-trained on administrative and project support to membership, operations, communication, worship, learning, and finance functions as needed
  • Perform other duties as assigned

Qualifications

  • Tenacious resourcefulness, calm under pressure, technology expertise, big picture thinking, discretion, impeccable organization, strategic multi-tasking, emotional intelligence, self-starter
  • Minimum of 5 years of proven experience as an executive assistant or other senior-level administrative support
  • Excellent written and verbal communication skills
  • Willing to handle diverse workload, with a high degree of flexibility
  • Commitment to a team-focused culture
  • A proactive approach to problem-solving with strong decision-making skills
  • Strong adherence to deadlines
  • Outstanding computer skills and advanced knowledge of Microsoft Office suite and/or G-Suite, including word processing, spreadsheets and presentation software
  • Experience with database and project management solutions a plus
  • Demonstrated ability to treat confidential information with compassion and discretion
  • Ability to act as a gatekeeper and escalate relevant information to senior leadership as needed
